How to Tell Members You're Switching Platforms (Copy-Paste Templates)
Quick answer
Start 14 days before launch and send 6 rounds of messages: an announcement, the billing details at 7 days, a reminder the day before, launch-day links, deadline reminders and a follow-up. Each round below has a copy-paste email plus a short DM or post. Use version A if Whop Migrations moves your members' Stripe cards, and version B if Skool, Patreon or Kajabi Payments bills them and they need to re-join.

Before you send anything
Write the messages last. Members will ask questions you can only answer once Whop is set up, so get these in place first:
- Know which path each member is on. Version A is for members whose Stripe subscriptions move with Whop Migrations. Version B is for members who re-join, which includes everyone on Skool, Patreon and Kajabi Payments. Our guide to transferring subscriptions has the full table for 19 platforms.
- Set two dates: launch day, when Whop opens and links go out (or the Stripe migration runs), and a deadline, when the old space closes. Give re-joining members at least one full billing cycle between the two.
- Build the hidden existing-members link with a free trial that ends on each member's old renewal date, and test it with your own email.
- Prepare one personal link per member or per renewal group. The free migration tool sets up the hidden plan, and the member CSV converter gives you a clean list to merge from.
- Send from the address members already get your emails from, so the messages land where they expect them.
The send timeline
Six rounds, two versions. Day counts are relative to launch day.
| When | Goal | Version A: card moves (Stripe) | Version B: re-join |
|---|---|---|---|
| 14 days before | Announce the move and the dates | Same announcement for everyone | Same announcement for everyone |
| 7 days before | Explain what happens to their membership | "You don't need to do anything" | "Here's when you'll be charged" |
| 1 day before | Short reminder | Expect an email from Stripe | Your link arrives tomorrow |
| Launch day | Open Whop and send access or links | How to sign in | Personal link and first charge date |
| 48 hours before the deadline, and on the day | Last call | Only for members whose subscription didn't move | Join before the old space closes |
| After the deadline | Confirm, follow up once, close | Welcome post | One last invitation |
Merge fields used in these templates
Replace these before you send. Most email tools can fill the per-member ones from your member list:
{first_name}: the member's first name{community}: your community or product name{old_platform}: Skool, Patreon, Kajabi and so on{launch_date}and{deadline}: your two dates{t7_date}: the date of your 7-day email{price}: what the member pays now{renewal_date}: the date their old platform would have charged them next{personal_link}: their hidden existing-members link{whop_link}: your public Whop page{access_steps}: how a migrated member signs in, written from your own test{promo_code}and{discount}: an optional switch offer{final_date}: the last day the existing-members links work{your_name}: you
Braces that hold a description instead of a field name, such as {one honest sentence…} or {Optional: …}, are notes to you. Rewrite or delete them before you send.
14 days before: announce the move
Tell everyone at once, with the reason, the dates, and the fact that nothing changes yet. Leave links out of this one, because members only need to know the move is coming.
Subject: {community} is moving to Whop on {launch_date}
Hi {first_name},
A heads-up before anything changes: on {launch_date}, {community} is moving from {old_platform} to Whop.
Why I'm doing it: {one honest sentence, e.g. "Whop lets me run the lessons, chat and payments in one place, and it costs less to run, which helps me keep the price where it is."}
What you need to do today: nothing. Your membership keeps working on {old_platform} until the switch.
What happens next:
- On {t7_date}, I'll email exactly what happens to your membership and billing.
- On {launch_date}, you'll get your way in.
- {old_platform} closes on {deadline}.
{Only if true: "Your price stays at {price}."} Questions? Reply to this email.

Community post
We're moving to Whop on {launch_date}.
Nothing changes for you today. On {t7_date} I'll email the details of what happens to your membership, and on {launch_date} everyone gets a way in.
{old_platform} stays open until {deadline}, so nothing disappears overnight.
Ask your questions below and I'll answer them in the {t7_date} email.
7 days before: explain what happens to each membership
This is the message that heads off support tickets. Version A members are about to get a cancellation email from Stripe, and version B members are about to be asked for a card, so each group needs the details first.
Version A: your card moves automatically (Stripe)
Send this before you start Whop Migrations. Whop's announcement says Stripe emails every customer when their old subscription is scheduled to cancel, and card changes made after the transfer starts don't carry over.
Subject: What happens to your {community} membership on {launch_date}
Hi {first_name},
On {launch_date}, your {community} membership moves to Whop. You don't need to do anything, and you won't be charged twice.
What to expect:
- Same price, same date. You'll keep paying {price}, next on {renewal_date}, with the card you already use.
- An email from Stripe. After the move, Stripe will tell you your old subscription is set to cancel. That's the old billing switching off. Your membership carries on at Whop.
- Receipts from Whop. From {renewal_date} on, your receipts and billing emails come from Whop.
- Updating your card? Please do it before {launch_date}. Card changes made during the move don't carry over.
On {launch_date} I'll send the steps to get into the new space.
{your_name}
Version B: please re-join (trial until your old renewal date)
Subject: Your {community} membership: what to do on {launch_date}
Hi {first_name},
On {launch_date}, {community} moves to Whop. {old_platform} handles payments itself, so your card can't move over automatically. I'll need you to re-join once, with a private link, and you won't pay twice.
How it works:
- On {launch_date}, you'll get a private link to join on Whop at your current price, {price}.
- You'll enter a card, but you won't be charged until {renewal_date}, the day {old_platform} would have charged you next. Until then, it's a free trial.
- Once you've joined, I'll cancel your {old_platform} subscription so it doesn't renew. {For Patreon, use instead: "Once you've joined, please cancel your Patreon membership so it doesn't renew."}
- {old_platform} stays open until {deadline}.
{Optional: "Join by {deadline} and use code {promo_code} for {discount}."}
Reply with any questions.
{your_name}
1 day before: send a short reminder
Keep it to three lines. For version A, the job is to defuse Stripe's cancellation email. For version B, it's to make sure the link doesn't look like spam when it lands.
Subject: Tomorrow: {community} moves to Whop
Hi {first_name}, a reminder that {community} moves to Whop tomorrow, {launch_date}.
[Version A] You don't need to do anything. If Stripe emails you that your old subscription is set to cancel, that's part of the switch, and your membership continues on Whop.
[Version B] Watch for an email from me with your personal join link. You won't be charged until {renewal_date}.
Launch day: open Whop and send links
Send the email first, then pin a post in the old community and DM your most active members. Each person gets one message with one link.
Version A email
Write {access_steps} from your own test: sign in with the email on a test subscription you migrated and note exactly what you had to do.
Subject: You're in: {community} is now on Whop
Hi {first_name},
{community} now lives on Whop, and your membership moved with it: same price ({price}), same renewal date ({renewal_date}), same card.
How to get in:
{access_steps}
If Stripe emails you that your old subscription is set to cancel, that's expected.
See you inside,
{your_name}
Version A, for members whose subscription didn't move
Whop Migrations skips Stripe Link, ACH and SEPA payments, past-due subscriptions and customers with no email. Its CSV report tells you who those members are.
Subject: One step to keep your {community} membership
Hi {first_name},
{community} moved to Whop today, but your membership couldn't move automatically because {reason, e.g. "it's paid through your bank account rather than a card"}.
Here's your private link to re-join on Whop at {price}:
{personal_link}
You won't be charged until {renewal_date}, when your current period ends, and I'll cancel the old subscription so you're never billed twice. Please join by {deadline}.
{your_name}
Version B email
Subject: Your link to re-join {community} on Whop
Hi {first_name},
{community} is now on Whop. Here's your private link to re-join at {price}:
{personal_link}
- You won't be charged today. Your first Whop charge is on {renewal_date}, when your {old_platform} period ends.
- {old_platform} stays open until {deadline}, and I'll cancel your old subscription once you've joined.
- This link is only for existing members, so please don't share it.

DM
Hey {first_name}, {community} moved to Whop today.
[Version A] You're already in: {access_steps}
[Version B] Here's your link to re-join, with no charge until {renewal_date}: {personal_link}
Pinned post in the old community
We're live on Whop: {whop_link}
If you paid by card through {community}'s checkout, your membership moved automatically. Check your email for how to sign in.
If I sent you a personal link, that's your way in, and you won't be charged until your current period ends.
{old_platform} closes on {deadline}. From today, new posts and lessons go up on Whop only.
Deadline: last call at 48 hours and on the day
Send two reminders to anyone who hasn't joined: one 48 hours before the deadline and one on the day. Say plainly what happens if they don't act, and make it easy to leave.
48 hours before
Subject: 2 days left to move your {community} membership
Hi {first_name},
{old_platform} closes on {deadline}, and I don't see you on Whop yet.
Your link: {personal_link}
No charge until {renewal_date}, at the same price, {price}.
If you'd rather not continue, that's fine. Reply and I'll cancel your {old_platform} subscription so you aren't billed again.

Deadline day
Subject: Today's the last day on {old_platform}
Hi {first_name}, {community} on {old_platform} closes tonight. To keep your access, join on Whop with your link: {personal_link}. You won't be charged until {renewal_date}.
After the deadline: confirm, follow up once, close the old space
Thank the people who moved, send one last invitation to those who didn't, and close the old space only after the last old billing period has ended.
Welcome post on Whop
Welcome to the new home of {community}.
Everything happens here now: {what's where, e.g. "lessons in Courses, questions in the Forum, chat in General"}.
If a friend from {old_platform} hasn't made it over yet, point them to me and I'll resend their link.
One last invitation, a week after the deadline
Subject: Your spot in {community} is still here
Hi {first_name},
{community} has fully moved to Whop, and {old_platform} is now closed. If you'd like to come back, this link works until {final_date}:
{personal_link}
{Optional: one line on what's new since the move.}
Either way, thank you for being a member.

Mistakes that make these messages backfire
Each of these turns a routine switch into a pile of support replies:
- Letting Stripe's cancellation email arrive first. Send the 7-day message before you start the migration.
- Asking for a card without the date of the first charge. Put
{renewal_date}in the same sentence as the link. - Sending one link to everyone when renewal dates differ. A single trial length either charges some members early or gives others weeks for free, so group members by renewal date.
- Moving the deadline more than once. If you need more time, extend it once and say why.
- Burying the action. The date and the link belong in the first two lines.
- Forgetting free and lifetime members. Send them a free access link with a shorter message of their own.
Frequently asked questions
How far ahead should I tell members I'm switching platforms?
This kit starts 14 days before launch, which gives members time to ask questions and update cards without the news going stale. Re-joining members also need a deadline at least one full billing cycle after launch, so every monthly member reaches their old renewal date before the old space closes. Announce further out if you have annual members or run live cohorts.
Do Stripe members need a message if their card moves automatically?
Yes. Whop says Stripe automatically emails each customer that their old subscription is scheduled to cancel, and receipts come from Whop afterward. Without a warning, that email looks like you cancelled them. They also need to know how to sign in on Whop, and that card changes made after the transfer starts don't carry over.
Should I email members or post in the community?
Both, plus personal DMs on launch day. Members who rarely open the community still get email, and active members often see a pinned post first. Send every deadline reminder by email, because it's the one channel you can check against your list of who still hasn't joined.
Can I offer a discount to members who switch early?
Yes. Either price the hidden existing-members plan below your public price, or create a Whop promo code limited to that link and one use per customer. Whop's codes default to 100 uses and expire one month after you create them, so set the limit to your member count and the expiry to your deadline before you put the code in an email.
What do I tell a member who says they were charged twice?
Apologize, refund one of the charges, and cancel the old subscription straight away. Then check everyone in the same renewal group, because the cause is usually an old subscription that wasn't cancelled before the Whop trial ended. Reply in the same thread with the refund confirmation so they don't have to ask again.
